01 — The problem
The stock spreadsheet nobody else understands
In many companies, inventory runs on a workbook one buyer built years ago. It holds the real logic: safety stock per SKU, supplier lead times, case-pack rounding, which items are seasonal. When that person is on vacation, reordering slows down or stops.
Generic inventory management systems handle the basics, but they rarely match your exceptions: a supplier with a minimum order value, stock reserved for one key account, or a location that counts differently. So the spreadsheet survives next to the system, and numbers drift apart.
02 — What to build
Core objects and screens for an inventory management app
Items and variants with SKU, unit of measure, supplier and lead time.
Stock by location
on hand, reserved, in transit and available.
Reorder rules per item, including safety stock and minimum order quantities.
Purchase order drafts generated from low-stock items, grouped by supplier.
An approval step for orders above a value your purchasing lead defines.
Roles
warehouse staff adjust counts, buyers create orders, finance views spend read-only.
A dashboard with low-stock alerts and filters by location, supplier and category.
03 — How to build it
How to build inventory management system features in Henosia
Open a private project so you can experiment safely.
Upload representative mock data
item master, stock levels, suppliers and recent purchase orders as CSV files.
Connect a database and let the app read from structured tables.
Plan in Plan mode
Describe your reorder logic; the agent asks clarifying questions and proposes a plan before anything is built.
Build, test and iterate
Check every calculation against your current workbook.
Publish with access control so only the right roles can change stock or approve orders.
Henosia's own live demo followed this path: a fictional operations and inventory app built from CSV mock data, with a dashboard, filtering, stock and purchasing overview and a simple approval rule. The presenters were clear it was a first version, not a finished production app.
Plan an inventory app from the attached items, stock_by_location, suppliers and purchase_orders CSVs.
Available stock = on hand minus reserved. Flag items below safety stock.
Suggest purchase orders grouped by supplier, rounded up to case pack and minimum order value.
Orders above the limit in approval_rules.csv need purchasing lead approval.
Warehouse staff can only adjust counts; buyers create orders; finance is read-only.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Agree on definitions before you automate
In a Henosia webinar, Danish e-commerce company 4tal stressed fixing data definitions before automating. For inventory, that means agreeing on what "available" means and who owns the item master.
Then decide: is the app read-only against your ERP or allowed to write orders back? Scope each integration per system, data direction and access level. Henosia can work with API-based data, and more point-and-click connector interfaces are on its roadmap. Keep a human approving purchase orders.
Start a private Henosia project with a copy of your stock workbook and plan the first version of your warehouse management or inventory app.

Frequently asked questions
Can I build an inventory management app without coding?
Yes, for a first version. A buyer or operations lead can describe items, locations and reorder rules in Plan mode and build without writing code themselves. Bring in IT or a technical builder when the app needs to write data back to your ERP or other core systems.
Will a custom app replace our inventory management system?
Usually not on day one. Many teams start with an app that sits on top of their existing system and handles what it doesn't: custom reorder logic, approvals and exception views. Whether it replaces anything later depends on your integrations, testing and ownership.
How do I keep stock and supplier data secure?
Build in a private project with mock data first. When you publish, Henosia Authentication ties access to your company email domain, with app-level permissions and optional IP restrictions. Define which roles can adjust stock, create orders or only view data, and confirm your security requirements before connecting live data.
How long does it take to build custom inventory management software?
A working first version can come quickly once your mock data and reorder rules are clear. Getting to production takes longer: you need to validate calculations against real data, set roles, scope integrations and agree on an owner. Plan time for testing, not just building.
