01 — The problem
Where invoice preparation actually breaks
Creating an invoice is easy; getting the right lines onto it is hard. Billing teams pull hours from one system, rates from contract PDFs and discounts from email, then reconcile it all in a spreadsheet only one person understands.
Standard invoicing software assumes simple price lists. It struggles with tiered rates, milestone billing, client-specific terms, split invoices and credit notes tied to originals.
02 — What to build
What your invoicing app needs
Customers and contracts with billing terms, rates, currency and invoice frequency
Billable items from time, delivery or usage data, marked billed or unbilled
Draft invoice builder that applies contract rules and flags lines outside the rules
Review and approval by an account owner before an invoice is finalized
Credit notes and corrections linked to the original invoice number
Roles
billing specialist, account owner, finance approver and read-only viewer
Status overview of drafts, approved, sent and overdue invoices
03 — How to build it
Turning billing rules into an app with Henosia
Create a private project for your billing team. Nothing is live until you publish.
Add mock data
anonymized customers, a sample of contract terms and a month of billable items as CSV files.
Connect a database so contracts, items and invoices are stored as related records.
Write your rules in Plan mode
The agent asks about exceptions, such as partial milestones, and proposes a plan.
Build a first version and compare drafts with invoices you already sent.
Iterate until the drafts match, then add approval and credit note flows.
Publish with access limited to finance and named account owners.
Example Plan-mode prompt:
Build an invoicing app for our services business.
Each customer contract has an hourly rate, a monthly cap and net-30 terms.
Generate monthly draft invoices from unbilled hours, apply the cap,
and flag any line where hours exceed the contract budget.
Account owners approve drafts; finance can issue credit notes linked to the original.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Getting from draft invoices to production billing
Invoices carry financial weight, so treat the first version as a prototype. Before real billing:
- Name a data owner for contracts and rates
- Decide read vs. write access: should the app only read billable data, or also post invoices to your accounting system
- Scope each integration per system, data direction and access level; Henosia can work with API-based data, and more point-and-click connectors are on its roadmap
- Agree who approves publishing and later rule changes
- Keep a human sign-off on every invoice before it leaves the company
If billing depends on hours, pair this with a timesheet app as the clean source of billable time.
Start a private Henosia project and rebuild one month of invoices as your first test case.

Frequently asked questions
When does custom invoicing software make sense over an off-the-shelf tool?
When your billing rules are the problem: client-specific rates, caps, milestones, split invoices or usage from several systems. If standard invoicing software forces you into spreadsheets before every billing run, a custom invoicing app that encodes your rules can remove that manual step while your accounting system stays in place.
How much does custom invoicing software cost?
It depends on scope: the number of billing rules, integrations, approval steps and the testing needed before real use. Henosia shortens the build part because finance can plan and iterate directly. Integration work, testing and ongoing ownership still need time and should be part of your estimate.
Do I need a developer to build an invoicing app?
A billing specialist can plan and build the first version in Henosia without writing code themselves. Bring in IT or a developer for connections to accounting or ERP systems, for write access that posts invoices, and for reviewing roles and access before you publish.
Is financial data safe in an app built with Henosia?
You start in a private project and nothing is live until you publish. Henosia describes domain-based access, app-level permissions and optional IP restriction. For financial data, agree data classification, retention and approval rules with IT and confirm them with Henosia for your setup.
Can the app send invoices automatically?
It can be built to, but start with drafts and human approval. Use fixed rules for calculations like rates and caps, and let AI help only where interpretation is needed, such as flagging unusual lines. Automate sending only after drafts consistently match what finance expects.
