02 — What to build
What a good onboarding tool tracks
Build around tasks and owners, not documents:
New hire records with start date, role, department, location and manager
Checklist templates per role, with conditional tasks
Task owners in HR, IT, facilities and payroll, with due dates relative to start
Overdue alerts when a pre-start task is late
New hire view with first-week schedule and required forms
Check-ins at 30, 60 and 90 days, logged by the manager
Roles
HR admin, task owner, manager, new hire
03 — How to build it
How to build an onboarding app with Henosia
Create a private project, your sandbox until you publish.
Add mock data
a few fictional hires, your current onboarding checklist and department list.
Connect a database for hires, tasks, templates and check-ins.
Use Plan mode to describe the workflow. The agent asks clarifying questions, such as remote versus on-site rules, and proposes a plan before building.
Build a first version and walk one fictional hire through the flow.
Iterate with the people who do the work
Have IT and facilities test their task views.
Publish with access based on company email domain and role.
An example Plan-mode prompt:
Build an employee onboarding app for HR.
When HR adds a hire, create tasks from a template based on department and remote or on-site status.
IT tasks (laptop, accounts) are due 5 business days before start; facilities only applies on-site.
Managers see their hires and log 30/60/90-day check-ins.
HR sees a board of all upcoming starts with overdue tasks highlighted.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Handling personal data responsibly
Before real hires go in, settle:
- What personal data you actually need. Keep sensitive documents in the systems built for them.
- Who sees what: task owners need a name and start date, not salary details
- Integrations with HR or IT systems, scoped per system, data direction and read or write access
- Who owns the templates and approves publishing changes
Henosia gives IT an overview of which apps exist, who builds them and who has access, so onboarding trackers don't multiply unseen across departments.
New hires often need a home base after week one; see our employee portal guide.
Start a private project in Henosia, add your current checklist as mock data and plan your first onboarding flow.

Frequently asked questions
What is an employee onboarding app?
An employee onboarding app organizes the tasks that get a new hire ready, from paperwork and equipment to system access, training and check-ins. It assigns each task to an owner in HR, IT, facilities or management, tracks due dates against the start date and shows new hires what to expect.
What should an onboarding checklist include?
Typical items include employment forms, equipment orders, account creation, badge setup, a first-week schedule, required training and manager check-ins. The right checklist depends on role, location and employment type. A custom app applies conditional tasks, so a remote hire doesn't get a badge request.
Do I need IT or developers to build an onboarding tool?
Not for a first version. HR can describe the process in Plan mode and build without writing code themselves. Involve IT before go-live, because onboarding touches personal data and IT systems. Decide together on access, integrations and who approves publishing.
Is employee data safe in a custom onboarding app?
Build first with mock data in a private project. When you publish, Henosia Authentication can restrict access to your company domain, apply app-level permissions and optionally limit by IP. Collect only the personal data you need, and confirm specific security and privacy requirements with Henosia and your legal team.
