01 — The problem
Why generic scheduling tools miss your capacity rules
A simple appointment scheduler handles "pick a free slot." Real operations have more rules: a consultation needs a certified specialist, a site visit needs travel buffer, a training room holds twelve people, and some services need a deposit or manager sign-off.
When the tool can't express those rules, coordinators keep a side spreadsheet and fix double bookings by phone.

03 — How to build it
Steps to build your booking app in Henosia
Start a private project
It is a sandbox; nothing is visible until you publish.
Add mock data
CSVs of services, staff skills, rooms and a few weeks of past bookings.
Connect a database to hold resources, rules and bookings.
Use Plan mode to describe the scheduling logic. The agent asks clarifying questions and proposes a plan before anything is built.
Build a first version and try to break it with double bookings and last-minute changes.
Iterate with new prompts for reminders, waitlists or a coordinator override.
Publish with access set for staff, and for external users only where you decide.
Example Plan-mode prompt:
Build an appointment scheduling app for our advisory team.
Each service has a duration, a 15-minute buffer and a required specialist skill.
Clients pick a service and see only slots where a qualified advisor and a room are free.
Coordinators can override assignments and see daily utilization per advisor.
Cancellations inside 24 hours need coordinator approval.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Decisions to make before live bookings
Running real bookings needs clear answers:
- Calendar source of truth: is the app the master, or does it read from existing calendars
- Read vs. write access to any calendar or CRM you connect, scoped per system and data direction
- Who books: employees only, or invited customers and partners through a controlled client portal
- Personal data: which client details you store and who can see them
- Ownership: who maintains services, rules and resources, and who approves publishing
Henosia describes access based on your company email domain, app-level permissions, optional IP restriction and the option to give external parties access. Keep a coordinator in charge of exceptions instead of automating every edge case.
Start a private project in Henosia and map your booking rules into a first version your coordinators can test.

Frequently asked questions
What is the difference between a booking system and an appointment scheduler?
An appointment scheduler usually shows free time slots for one person or calendar. A booking system also manages resources like rooms, equipment or multiple staff, applies rules such as buffers and skills, and tracks each booking's status. Custom booking systems matter when those rules are specific to your operation.
Can I build a custom booking system without developers?
A coordinator or operations lead can plan and build a first version in Henosia without writing code themselves. Involve IT when you connect existing calendars or CRM data, when external users need access, and before publishing, so roles, data handling and ownership are agreed.
Can customers book through an app built in Henosia?
Henosia is built for business apps with controlled access. You can give invited customers or partners access to a booking flow, for example through a client portal, while keeping staff views internal. It is not positioned as a platform for public consumer apps with open sign-up.
How is booking data protected?
You build in a private project, and nothing is live until you publish. Henosia describes domain-based access, granular app permissions, optional IP restriction and controlled external access. Decide which client details you store, and confirm data handling for your setup with IT and Henosia before using real bookings.
Can a booking app handle meeting room and desk booking too?
Yes. Rooms and desks are resources with capacity and availability, just like staff. You can start with client appointments and extend the same app with prompts for a meeting room booking system or desk booking, reusing the same rules and dashboard.
