01 — The problem
The trouble with expense spreadsheets and rigid apps
An expense tracker spreadsheet works for a handful of people. Then receipts arrive as photos in chat, categories drift ("travel," "Travel - client," "trips"), managers approve by replying "ok" to an email, and finance spends month-end chasing missing receipts.
Packaged expense management apps help, but your policy has its own logic: per-diem by city, project codes, pre-approval for certain purchases. When the app can't express that, exceptions move back into email.
02 — What to build
Data objects and rules for an expense tracking app
Expense entry with date, amount, currency, merchant, category, project and receipt image
Policy rules such as category limits, receipt thresholds and pre-approval requirements
Approval chain
employee, manager, then finance for amounts above a limit
Expense report grouping entries per employee and period for reimbursement
Cost centers and projects so spend lands on the right budget
Roles
employee, approver, finance reviewer and auditor with read-only access
Spend dashboard by category and department versus budget
03 — How to build it
From spreadsheet to expense app in Henosia
Create a private project
You experiment in a sandbox; nothing is published yet.
Upload mock data
last quarter's expense export, your category list, cost centers and policy limits as CSV files.
Connect a database to store entries, reports and approvals.
Plan the logic in Plan mode
The agent asks about edge cases, like split expenses, and proposes a plan.
Build the first version and run test claims through the approval chain.
Iterate on policy checks, the mobile entry form and the dashboard.
Publish with access limited to your company domain and the right approver roles.
Example Plan-mode prompt:
Build an expense tracking app for employees across several departments.
Employees log expenses with a receipt photo, category and project code.
Flag any meal over our per-person limit and any expense without a receipt above our threshold.
Managers approve their team's reports; finance approves anything above a set amount.
Finance needs monthly spend by cost center versus budget.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Getting definitions and governance right first
In a Henosia webinar, Danish e-commerce company 4tal stressed fixing data definitions before automating anything. For expenses, agree on one category list and one meaning of each cost center before you build rules on top.
Then decide:
- Who owns the policy rules and category list
- Read vs. write access to your accounting or payroll system, scoped per system and data direction
- Which roles see whose expenses
- Who approves publishing and changes to policy logic
- Where AI helps: reading a receipt or suggesting a category, with a person confirming
Handle purchases that need sign-off before spending in an approval workflow.
Start a private project in Henosia and turn your expense policy into an app employees will use.

Frequently asked questions
What should a business expense tracker include?
At minimum: expense entries with receipts, categories and project or cost center codes, policy checks, an approval chain and reports for reimbursement. Finance also needs a spend view by department and budget. The right mix depends on your policy and how expenses reach your accounting system today.
Can I replace an Excel expense tracker template with a custom app?
Yes. Export your current expense tracker spreadsheet as mock data, describe your categories and approval rules in Henosia's Plan mode, and build a first version. Running both side by side for one period is a sensible way to check the app before retiring the spreadsheet.
Do I need developers to build an expense management app?
Finance or operations can plan and build the first version in Henosia without writing code themselves. Involve IT for connections to accounting or payroll systems, for access rules covering employee data, and before publishing the app to the whole company.
How is employee expense data protected?
You build in a private project, and nothing is live until you publish. Henosia describes access tied to your company email domain, app-level permissions and optional IP restriction. Inside the app, roles decide who sees which expenses. Confirm data handling for your setup with IT and Henosia.
Can AI check expenses against policy?
Use fixed rules for clear checks like limits and missing receipts, since they are predictable and easy to test. AI fits tasks needing interpretation, such as reading receipt details or suggesting a category. Keep an approver confirming the result before any reimbursement is paid.
