Build a Work Order App with AI

A work order app turns maintenance and repair requests into tracked jobs: who asked, which asset is affected, who is assigned, what was done and who signed it off. With Henosia, maintenance leads and facility managers can build a custom work order system with AI that follows their own priorities and approval rules, without writing code themselves and without bypassing IT.

01 — The problem

The gaps between a request and a closed job

Work orders rarely fail at the start. They fail in the handoffs. A request arrives by email or text without the asset ID. A technician fixes the problem but logs parts used on paper. The supervisor never sees that a high-priority job blew past its due date.

Paper forms and shared inboxes can't route by priority or hold anyone to a due date. Off-the-shelf work order software solves part of this, but your site may need its own priority rules, contractor steps or sign-off requirements that don't fit a standard template.

02 — What to build

Fields, statuses and roles your work order system needs

  • Requests with requester, location, asset, description, photos and requested priority.

  • Triage where a supervisor sets final priority, category and an SLA due date.

  • Assignment to an internal technician or an outside contractor.

  • Job log with labor hours, parts used and notes.

  • Statuses

new, assigned, in progress, waiting on parts, completed, verified.

  • Sign-off by the requester or supervisor before a job is closed.

  • Preventive maintenance jobs generated on a schedule per asset.

If you also need a register of the equipment being serviced, connect it to an asset management app.

03 — How to build it

From request form to working app in Henosia

  1. Start a private project

Experiment freely; nothing is live until you publish.

  2. Load representative mock data

past work orders, assets, locations and technicians exported as CSV.

  3. Connect a database to store requests and job history.

  4. Describe the flow in Plan mode

The agent asks clarifying questions, for example about priority levels, and proposes a plan. You decide when to build.

  5. Build and test

submit a request, escalate it, run out of parts, close it with sign-off.

  6. Iterate with follow-up prompts, then publish to requesters, technicians and supervisors.

PlanBuild
Example prompt
Plan a maintenance work order app for two plants.
Anyone with a company email can submit a request with asset, location and photo.
Supervisors triage into P1-P4; P1 jobs get a 4-hour due date and alert the on-call technician.
Technicians log labor hours and parts used from their phone.
A job can only close after the supervisor verifies it.

Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.

04 — Before you go live

Getting ready for production maintenance data

A first version shows the workflow. Before technicians rely on it, settle these points:

  • Process owner: who maintains priority definitions and SLA rules?
  • Data connections: parts inventory or purchasing data may live in other systems. Henosia can work with data connections and API-based data; scope each integration per system, data direction and access level.
  • Access levels: Henosia Authentication can tie access to your company domain, set granular app-level permissions and give outside contractors controlled access.
  • Testing and approval: run real scenarios and agree who approves publishing.

Start a private Henosia project with a sample of last month's work orders and plan your first version.

05 — FAQ

Frequently asked questions

What is the best work order software for a unique process?

If standard work order software fits your process, use it. If your priorities, contractor steps or sign-off rules don't fit, a custom work order app can follow them exactly. With Henosia, the people who run maintenance can plan and build that app themselves, with IT governing access.

Do I need developers to build a work order management system?

Not for a first version. You describe the workflow in Plan mode, and Henosia builds from your plan and mock data without you writing code. Bring in IT or developers for integrations with inventory or purchasing systems, access rules and production readiness checks.

Can outside contractors use the work order app?

Yes, with control. Henosia Authentication supports giving external vendors access, alongside company-domain access and more granular app-level permissions. Decide which jobs, sites and fields contractors can see before you publish, and confirm your specific security requirements with your IT team and Henosia.

How much does custom maintenance work order software cost?

It depends on scope: the number of sites, roles and statuses, whether you need integrations, and how much testing production use requires. Henosia shortens the build part by letting your maintenance team plan and iterate directly, but data cleanup and testing still take time. Contact Henosia for current pricing.
