01 — The problem
Where fleet spreadsheets and generic tools fall short
Fleet data tends to be scattered: a vehicle list in one spreadsheet, service records in a shop's invoices, driver inspection sheets on paper and registration renewals in someone's calendar. When that person is out, renewals slip.
Generic fleet management software is often built around GPS tracking and telematics. Useful, but many teams first need the basics: which van goes to which crew, what the inspection found and who approves a repair.
02 — What to build
Core records and roles for your fleet app
Vehicles with unit number, VIN, make, model, odometer, home location and status (active, in shop, out of service).
Driver assignments with start and end dates, plus license expiry dates.
Pre-trip inspections with a checklist, defect notes and photos.
Service schedules by mileage or date, with a log of completed work and cost.
Documents and renewals
registration, insurance cards and permits with expiry alerts.
Repair requests that route to a fleet manager for approval above a cost threshold.
Roles
drivers submit inspections, coordinators assign vehicles, managers approve and see costs.
Repair jobs can also feed a work order system.
03 — How to build it
Building your fleet app in Henosia
Open a private project as your sandbox.
Upload mock data
a vehicle list, drivers, past service records and an inspection checklist as CSV files.
Connect a database to hold vehicles, assignments and inspections.
Use Plan mode to describe the workflow. The agent asks questions and proposes a plan; you decide when to build.
Build, test and refine
walk through a failed inspection, an overdue service and a driver change.
Publish to the right users once roles are agreed.
Plan a fleet management app for 3 depots using vehicles.csv, drivers.csv and service_log.csv.
Drivers submit a daily pre-trip inspection on mobile; any failed item sets the vehicle to "out of service".
Show coordinators vehicles due for service within 500 miles or 14 days.
Repairs above the depot's approval limit need fleet manager approval.
Ask me about depot-level permissions before finalizing the plan.Paste it into a private Henosia project in Plan mode. The agent asks questions and proposes a plan first.
04 — Before you go live
Telematics, fuel cards and staying in control
In a Henosia webinar, Danish e-commerce company 4tal stressed using fixed, deterministic rules for stable steps and AI only where interpretation is needed. For fleets, service intervals and expiry alerts should be plain rules, while AI can summarize free-text defect notes.
Before going live, decide:
- Data sources: GPS, fuel card or shop data can be connected via APIs; scope each integration per system, data direction and access level.
- Read vs. write: should the app only read odometer data, or update other systems?
- Access: Henosia Authentication can restrict the app to your company email domain and grant more granular access per app.
- Ownership: name who owns the vehicle data and who approves publishing.
Create a private project in Henosia and plan your first fleet app version from your own vehicle list.

Frequently asked questions
What is the difference between a fleet management app and fleet management software?
Fleet management software usually means an off-the-shelf product with fixed modules, often centered on telematics. A fleet management app built in Henosia is shaped around your own vehicles, inspections, approvals and roles, and can start with the workflows that hurt most before you add more.
Can a custom app replace a fleet tracking app with GPS?
Not on its own. Live GPS tracking depends on telematics hardware and its data feed. A Henosia app can work with API-based data, so GPS or odometer readings can be brought in once that integration is scoped. Many teams start with assignments, inspections and service schedules first.
Do I need developers to build a fleet management system?
You can plan and build a working first version without writing code yourself. Developers or IT become useful when you connect telematics or fuel card data, define access rules and prepare for production. Henosia is designed for business and IT to work on the same app.
Who can see driver and vehicle data in the app?
You decide. Projects start private, and published apps can be limited to your company email domain, specific users or IP ranges. Drivers can see only their own inspections while managers see costs. Confirm data handling requirements for driver information with Henosia and your IT team.
